PRESENTATION THEMES: This year’s program schedule incorporates three half-day themes, as well as an opportunity for general oral abstracts. Each half-day session includes a keynote and state of the art presentation that have already been selected. Abstracts can be submitted to fit within one of the following topic areas OR submitted for general oral abstract option. You will indicate your preference during the submission process:

• • Metastasis
  • Soft-Tissue Sarcoma
  • Complications of Cancer Treatment
  • General Abstracts

WHO CAN SUBMIT AN ABSTRACT:  Members and non-members may submit an abstract for this conference.

PRESENTER REGISTRATION: All those selected to present an abstract must be registered for the conference no later than December 15, 2025.

PRESENTATION METHOD:  We intend for all presenters to be on site in Savannah.

ABSTRACT PRESENTATION RESTRICTIONS:  Multiple abstracts may be submitted by a presenter, however, any presenter may only be allowed to present one abstract within any half-day session.  The program chair for each session will determine the placement of all abstracts.  SINGLE CASE REPORTS WILL BE AUTOMATICALLY REJECTED.

LENGTH AND FORMATTING:  The entire abstract must be no longer than 250 words among all four sections (not including the title, authors, affiliations and references. Do not include that information in the body of your abstract). The abstract should include an introduction with study objectives, a brief description of the materials and methods, results and conclusions of the study. Abstracts may not include tables or graphs. Each author is fully responsible for the content of the abstract. It is best not to copy and paste abstract content into the system as irregular symbols and characters result when merging for publication. If using Greek characters, it is best to spell out the symbol as those characters don’t often merge correctly.

SUBMISSION DEADLINE:  All abstracts must be submitted online by November 15, 2025 AT 11:59 p.m. PST. Follow the prompts to complete the demographic information, university affiliation, presentation type, etc. Any abstract with only “data to be presented” or some iteration of this statement will be refused. Abstracts must include results and conclusion.

EDITING YOUR ABSTRACT:  You will receive a confirmation email informing you that your abstract has been submitted properly. This email will contain a link allowing you to EDIT your abstract as often as you’d like up to the submission deadline of November 15, 2025. Please DO NOT resubmit the same abstract.

GRADING & NOTIFICATION:  Submissions are reviewed and graded in mid-November. Successful applicants will be notified via email by December 1, 2025 and are required to accept or reject their assignment by December 8, 2025.

Abstracts will be graded using the following criteria:

• Is the study relevant to the attendee group (e.g. important to the diagnosis, treatment or prognosis of a oncologic disorder, or contributes to the understanding of tumor biology?)
• Does the study present new information?
• Is the study design clear and appropriate?
• Is the objective/hypothesis of the study clearly stated?
• Is the abstract clearly and concisely written?
• Are the study conclusions supported by the abstract content?

PRESENTATION:  Oral presentations are scheduled for 15 minutes which includes time for Q&A.  Presenters will bring their presentation on a flash drive. If you prepare your presentation on a MAC you must bring your own MAC computer AND the adapter to connect it to the projector.  The conference will NOT have a Macintosh computer available for presentations. *Depending on the number of submissions received, the planning committee may consider adding an opportunity to provide your abstract as a poster. You will be informed of this decision and offered an opportunity to accept or decline.

ABSTRACTS PRESENTED ELSEWHERE:  Abstracts presented elsewhere may be allowed as long as cases have been added or data has matured since the last presentation.
