Refund and Cancellation Policies

Refund and Cancellation Policy/Special Needs

Conference Cancellation

The Veterinary Cancer Society (VCS) and the Veterinary Society of Surgical Oncology (VSSO) reserves the right to cancel this conference due to low enrollment or other circumstances which would make the conference non-viable. If the conference is cancelled, registrants will be offered a full refund. VCS will not be responsible for reimbursement of any participant’s expenses related to the cancellation of this conference.

Registration Cancellations & Substitutions

An administrative fee of $50 will be charged upon cancellation of in-person meeting registration before March 15, 2023.  After March 15, cancellation requests will be granted only in cases of extenuating circumstances (e.g., death in the family, medical emergency) and must be supported by written documentation. Please allow 30 days for processing refund requests. All refunds and changes must be requested in writing and will incur a $50 fee.

Substitutions will be provided at no cost as long as the substitution is within the same category (professional, resident, intern, etc.).  Additional costs will be incurred for substitutions to a different category although no refunds will be provided for a substitution to a lower-priced category.

Special Needs

In compliance with the Americans with Disabilities Act of 1990, VCS will make every effort to provide reasonable accommodations requested for individuals with disabilities.

If you have a disability that may impact your participation at the 2023 Collaborative Conference, please include a written statement with your registration regarding your needs at least two weeks in advance or contact Sandi Strother at vetcancersociety@yahoo.com or 573-823-8497.

VCS and VSSO cannot ensure the availability of appropriate accommodations without prior notification.
