REGISTRATION OPENS JUNE 1st. 

  Conference Registration Fee

The VCS Annual Conference begins on Thursday, October 17th at 8:00 am with the optional Resident Review Workshop and optional Pre-Conference Workshop, both of which are INCLUDED in your registration fee.  You will be asked which, if either, workshop you’d like to attend when registering.  The conference ends on Saturday, October 19th at 5:00 pm followed by the Closing Event from 7:00-10:00 pm.

The conference fee includes one copy of the proceedings, all breaks, any sponsor-provided meals, Welcome Reception, and one ticket to the Saturday night Closing Event at the NASA Space Center.  There are some additional fees and guest tickets available.  For technicians, the conference fee also includes the Cytology/Hematology Workshop on Thursday morning and a Cannabis in Veterinary Medicine Workshop on Thursday afternoon.  Again, no additional fee is required.

RESIDENT PRESENTER RATE INFORMATION:

  • Only CURRENT VCS MEMBER RESIDENTS who are selected and agree to present either an oral or poster abstract are eligible to register using the RESIDENT PRESENTER rate.
  • Non-member Residents who are selected to present an abstract (poster or oral) must use the non-member Resident fee.
  • If you have recently completed your Residency (within last 12 months) but are presenting an abstract with a project that was completed during your residency, you are expected to pay the professional registration rate or the New-Professional rate if you are a VCS member with this designation.
  • All other students, interns and professional presenters must register within their proper membership category.
  • Residents who have submitted an abstract should wait to register for the conference until they receive notification that their abstract has been selected in either the oral or poster presentation category.

Payment Options

You may register online or by printed registration form beginning June 1st. You will find the links to the online registration system and the printable registration form on the bottom of this page when they become available.  If you must use two methods of payment, please complete and submit the printable form.


Refund and Cancellation Policy

  • Prior to September 1st, all requests for refunds must be made in writing and emailed to vetcancersociety@yahoo.com. There will be a $50 cancellation fee assessed. No refunds, for any reason, will be made after September 1, 2019.
  • The $100 late fee will be added to all registrations received after September 1, 2018.
  • Pre-registration closes October 7th at 8:00 am CST. After this date, registration must be completed at the VCS registration booth at the Houston Marriott Marquis and the $100 late fee will be assessed on site.
  • If you registered as a VCS member but have not paid your 2019 dues, you will be asked to do so onsite at the registration table. Please contact Sandi Strother at vetcancersociety@yahoo.com to check the status of your membership if necessary or please pay prior to arriving. Those VCS members who pay their 2019 dues in conjunction with conference registration will still be expected to pay their 2020 dues in January.
  • If you need to split your payment, you must complete the printed registration form and either fax or mail it in with payment information. You will not be able to do a split payment online.
  • Please Note: By registering you give your permission to distribute your name and contact information to the conference attendees and vendors. If you prefer not to be included in these distributed lists, please send a request via e-mail to Sandi Strother at vetcancersociety@yahoo.com.
