Key Dates

  • June 1:  Hotel block opens (see accommodations page)
  • July 1:  Early exhibitor registration fee ends.  $500 late fee added.
  • October 1:  Electricity orders due to the Houston Marriott Marquis; Booth representative names due.
  • October 14:  Sponsor tote bag inserts due

Important Information

  • SET-UP: Exhibitor set-up begins on Wednesday, October 16th at 3 pm and MUST BE COMPLETE by 7 am on Thursday, October 17. This is a change from year’s past.
  • TEAR DOWN: Exhibitor tear down will begin at 12:00 pm on Saturday, October 19th.
  • BOOTH SIZE:  Booths will be 10′ wide and 8′ deep.  Pipe & drape, one table and two chairs are provided.
  • STAFFING YOUR BOOTH:  Refer to the conference schedule for break times.  Exhibitors may staff their booth as they see fit.
  • LOCATION: There will be approximately 10 booths located in the pre-function space outside of the main ballroom (for upper level sponsors only) with the balance of them located in the adjacent ballroom as in year’s past.
  • BOOTH SELECTION: Only sponsors will have the opportunity to select their exhibit space starting with highest level sponsors first. Non-sponsor exhibitor spaces will be placed by VCS staff once all sponsor booths have been selected.
  • NEW! On Thursday night during the Welcome Reception, each sponsor (complimentary) and each exhibitor (fee required) may participate in this event by staffing a “high-boy” table at the reception around the pool.  Contact Sandi Strother if you wish to take part in this event.
  • RECEPTION: There will be a short reception for all sponsors and exhibitor representatives on Friday evening at 5:30 pm in the exhibitor ballroom.
  • TOTE BAG INSERT: Non-sponsor exhibitors may pay $250 to have an insert placed in tote bags. Sponsors can do so at no charge.
